The Poi Room's Success Story
The Poi Room is a go-to destination for New Zealand art and design, featuring 2 gallery showrooms and an online store. Clayton and his team have taken proactive steps to stay ahead of the retail game in challenging economic times, when businesses naturally seek cost-effective ways to boost sales and customer retention. Their story demonstrates how integrating a POS-website-foot traffic system can enhance overall business efficiency, performance and provide deeper insights into customer behaviour and marketing campaign effectiveness.
Before the integration, The Poi Room faced several challenges. These included fragmented data sources (inventory/stock levels, sales, customer details,…), difficulties in understanding customer behaviour due to the separation of online and in-store data and also a lack of targeted marketing insights. So, identifying a solution that met The Poi Room’s needs was the first step in this journey.
Challenges and pain points
finding cost-effective ways to drive sales, retain customers and capture lost sales opportunities
incomplete insight into in-store sales processes
lack of detailed insight into the impact of marketing campaigns
difficulty understanding customer behaviour due to the separation of online and in-store data
inefficiency while being more focused on the necessary tasks of showcasing rather than selling
no tracking of metrics such as weighted opportunities lost (WOP) and dollars per visitor (DPV)
dealing with day-to-day operational issues due to data being scattered across different systems
Solution and implementation
There was a fair bit of late night emails, early morning calls and meeting in the sun to scope out the requirements. After thorough discussions among team members, the requirements became clear, leading to a well-defined integration plan. The integration had 2 main phases:
POS and E-commerce Integration: Ramsys was integrated with The Poi Room's Shopify website, enabling seamless data flow between online and in-store operations. This ensured real-time inventory synchronisation, streamlined order processing, and a unified view of sales and customer interactions across different channels.
POS and Foot Traffic System Integration: Ramsys was linked with Bellwether’s foot traffic system, syncing foot & sales data in near-real-time. This allowed for a more comprehensive understanding of customer behaviour and sales performance, and also helped in identifying "low hanging fruit" sales opportunities and areas for staff training.
Benefits and outcomes of this integration
Increased Sales and Customer Retention: The Poi Room identified overlooked sales opportunities, refined sales strategies, and boosted overall sales and customer retention. "Post-COVID, we saw sales rocket to over 7 figures, phenomenal growth!" says Clayton.
Enhanced Customer Insights: Valuable data on customer behaviour and marketing effectiveness allowed more targeted and effective marketing efforts.
Optimised Sales Processes: Improved visibility into conversion metrics allowed to optimise in-store sales processes and enhance the customer experience.
Operational Efficiency: The integration streamlined operations, allowing for simultaneous in-store and online product availability, enabling the advertisement of unique one-off pieces.
Recommendations and real business impact
Clayton emphasizes the importance of seamless system integration, which allows for flexibility and growth. “Over the years, we have become close to working with Mark, as both of our businesses have developed, we are able to openly and freely talk ideas and innovations together. Allspoke and Mark have become part of our Whanau,” says Clayton.
The Poi Room has been using Ramsys as its retail management system since 2016. It was primarily chosen for its capability to manage multiple stores, store customer data and export financial data.
In 2019, we integrated Ramsys with The Poi Room's Shopify-based website. The top priority was to ensure seamless communication between the systems, synchronising stock and inventory, and providing the capability to easily process sales and customer data. Later, Bellwether’s foot traffic system was introduced, allowing for the integration of sales and store traffic data. This collaboration provided comprehensive insights into customer behaviour and sales performance.
“It is an absolute must for the systems to communicate effectively. As a CFO, I use the integration data daily. Our SOPs streamline the process from 'Art in to Art out,' considering online sales as another significant revenue stream. These improvements allow us to establish our brand and culture in the market. Now we see many of our competitors copying what we do and how we do it, which is the finest form of flattery! Our customers are unaware of the integrated systems, but they certainly benefit from the improved shopping experience.” Clayton shares.
Integrating Ramsys, e-commerce, and foot traffic data has transformed The Poi Room's operations, enabling data-driven decisions, enhanced customer service, and improved marketing effectiveness. This case study illustrates the importance of integrating systems for holistic business insights, driving success in a competitive retail landscape.
